Email Guide
You can access your Methodist Medical Center email account from any Internet browser. While this email account is protected using 128-bit encryption, note that identifiable, confidential patient information should not be included in the email message. Please refer to Methodist Health Service Corporation policy #152 on Electronic Communications for guidelines and acceptable email usage.
Accessing your email account
- Go to the URL: http://www.methodistmedicalcenter.org
- Type in your Groupwise Username and Password
- Click Login.

Sending a mail message 
- From the GroupWise® WebAccess main window, click the Compose a Message button.
- Click Address Book to add recipients in the To, CC, and BC boxes.

Type a recipient's address in the To, CC, or BC box. The address can be a GroupWise user ID, GroupWise full name, or external e-mail address. Separate each address with a comma.
- Type a subject and message. You can include Web site locations or addresses (URLs) in both the Subject and Message boxes.
- Click Spell Check to spell check the message. For this feature to work, your browser must be enabled for Java*.
- Click Attach to attach files to the message. For this feature to work, your browser must support attachments.
- Click Send Options to select a security setting (classification), assign a priority (high, standard, low), request a reply, or select to receive return notification.
- Click Send.

When you address a message, appointment, task, or note, you must include each recipient's address in the To, CC, or BC box. The Address Book lists all the users who are on the GroupWise system.
- Important: Always use the Address Book before you specify any attachments!

- Click the Address button.
- To search for a specific user, type the user's name in the First Name or Last Name box.
- If you are not sure how to spell the name, you can type the first few letters of the name. For example, da in the Last Name box will list all users in the Address book whose last names start with DA.
- Enter a quantity in the Number of names to display field. If the search finds more users than the number you select to display, you will be able to click Display Next to see the remaining users.
- Click Search Address Book to display a list of users that match your search characters.
- To insert the user's name into an item you are creating, click the name of the user you want to add, then click the To, CC, or BC button.
- Repeat steps 1-5 for each recipient you want to add.
- Click on Mail Button.

Mail and phone messages can be simply deleted. Once you delete an item, the item is removed from your Mailbox. The status of the message is also updated in the sender's Mailbox to show you've deleted the item. As long as the item remains in your trash, you can undelete it.To delete an item you have received,
- Click on Mailbox.
- Locate the item in the Item List and click in the box in the update column.
- Click Delete.

When you empty the trash the items will be no longer available for view.

- Click on Empty Trash

When you reply to a message, appointment, task, or note you've received, GroupWise WebAccess opens a new mail message and addresses it to the sender of the original message.
- Click Mailbox in the Folder List.
- Click the message, appointment, task, or note to open it.
- Click Reply or Reply All.
Reply to Sender sends a reply to the sender only. Reply to All sends a reply to the sender and all recipients of the original message, appointment, task, or note.
- Type your message.
- Click Send.

You can send an item you've received to other users. When you forward an item, GroupWise WebAccess opens a new message and includes the original message as an attachment to the new message.
To forward an item:
- Click Mailbox in the Folder list.
- Click the item to open it.
- Click Forward to open a new message.
- Click Address Book to add a recipient to the To, CC, or BC box.
- Type a subject and message.
- Click Send.

You can attach one or more files to a message to send to other users. For example, you may want to send an expense report to another user or attach an agenda to an appointment. You can attach a file that exists on your hard disk, floppy disk, or network drive. The recipients can open the attached file, save it, view it, or print it.
You can send attachments only if your browser supports attachments.
To send an item with an attachment:
- Click Mail on the toolbar
- Click Address Book to add recipients in the To, CC, and BC boxes.
- Type a subject and message.
- Click the Attach button.
- Click the Browse button to search your hard disk, floppy disk, or network drive o locate the correct file.
- Select All Files in the Files of Type box in the browser dialog box. Now you can see all the files of every kind in the directory you are browsing.
- Type the file location and name in the field if you already know them.
- Important: Make sure that you specify any attachments after you have finished using the Address Book or Spell Checker.
- Click Add to add the attachment. You may continue to add more attachments.
- Click OK when you are finished adding attachments.
- Click Send to complete.

GroupWise items can include attachments files of any type (i.e., text, audio, image, video, and application). Attachments are listed after the subject followed by links allowing you to View or Save As.
- Open the item containing the attachment.
- Click on View or Save As.
- Clicking on View will present a view of the attached item.
- Clicking on Save As will allow you to either open the attachment or save it to a location. If you want to save it, select a folder or directory to save to, type a file name in the File Name box, select a file type, then click Save.

- Click Calendar in the toolbar to open the calendar.
- Select the view you prefer: Day, Week, or Month.
- Select the dates you wish to view from the drop down boxes.
- Click on Appointment, Task, or Note to create a new calendar item.
- Select the times, dates, and locations for appointments.
- Click the Busy Search button to check for available times.
- Click Send when finished.
